Below are instructions for how to calculate attendance, chronic absence rates, and month to month change for your intervention groups.

Pro tip: If you want to monitor attendance for specific classrooms, add all students in that classroom into an intervention group and follow the instructions below.

  1. Go to your Intervention Group page and click the download button. This will download a spreadsheet view of the students in your group.

  2. Once downloaded, open the spreadsheet.

  3. Scroll to the right in the spreadsheet until you see columns titled total_days_enrolled, ytd_absence_rate, and total_days_absent.

  4. Calculate the attendance rate of your group as follows:

    Add up the total days absent across students, divide that by the total days enrolled for all students, this is your absence rate. Subtract the absence rate from 1 to get the attendance rate.

    You can do this easily in a spreadsheet using formulas. In a new row, in the total_days_enrolled column enter: =sum( , then select all the values you want to add up from that row. Watch the video below for an explainer.

  5. Calculate the chronic absence rate for your group by counting the total number of students with an absence rate greater than or equal 10% and dividing by the total number of students in the group.

  6. Calculate the average absence rate by taking the average of each students absence rate. You can do this easily in the spreadsheet.

  7. Calculate how many students improved their absence rate from on month to another creating a new column in your spreadsheet and comparing the two values. See the video below for instructions:
