How do we identify contact information issues?
As part of the event generation process for mail events, EveryDay Labs cleans and validates students' mailing addresses. This process involves two steps:
The student’s address is cleaned and formatted to United States Postal Service (USPS) standards using the Coding Accuracy Support System (CASS) certification. This process adds the ZIP +4, checks that the address can receive mail by the USPS, called Delivery Point Validation (DPV), and corrects address formatting. For example, if the address is 1234 Mayn Street, it will be cleaned to 1234 Main St. If the address cannot be cleaned and formatted correctly, for example, if the city is missing and the zip code is incorrect, the system cannot format the address and it fails DPV. A cleanse code is provided that indicates if an address was unchanged, was updated, or failed DPV.
The cleaned address is run through the National Change of Address Database (NCOA) to look for a change of address. Whenever a change of address form is submitted to the USPS, the old address and the forwarding address (when provided) are stored in the NCOA database. Results are only returned if an exact match is found which is why addresses are cleaned prior to running them through the NCOA database. When a match is identified we get an NCOA Match Code, along with the type of move and the effective date. The NCOA database stores change of address information for 48 months. If a forwarding address was provided, we also receive the forwarding address.
How often should we expect the addresses provided in this file to change?
Mailing address issues will only change when a nudge is sent.
Is there a filter to view families or students in the same household?
Not at this time.
